Position Description:
Receptionist - Chicago
Key Responsibilities:
Front Desk
Answer/screen/direct calls and guests and give information as appropriate/necessary
Sign for incoming packages
Distributing mail/overnight shipments
Keeping conference rooms clean and ready for clients/meetings
Order/Set up lunches for meetings
Add guests to security lists
Send messenger to LaSalle bank on a bi-weekly basis
Administrative Duties
Send out overnight packages (FedEx/UPS)
Arranging Iron Mountain shredding and pick ups/deliveries for storage
Scheduling/arranging meetings in all conference rooms
Making labels and typing letters as needed for various people
Monitoring supplies/needs for the copy rooms and kitchen and maintaining an appropriate level of supplies as necessary for business function
Ordering supplies
Cleaning supply & copy rooms and kitchen
Support employees relating to copy machines/printers (i.e.: stocking w/ paper, fixing jams, replacing ink/toner cartridges, calling for repairs)
Sorting and delivering custodial statements to Client Service Professionals (CSPs) on a monthly basis
Assisting in the binding of books for client meetings
Maintaining employee home/office phone number lists
Maintaining office supply list and keeping it up to date
Assist all teams as needed with any administrative needs or special projects
Billing
Gathering custodial statements for each billing cycle
Contacting CSPs to get non-duplicate statements and Axys statements to Nicole for each billing cycle and following up to be sure it has been obtained
Working with Nicole, Peter, & Nick to help with any administration needs during each cycle
Other
Office expert in Concur Expense Reimbursement, NetRez Travel Arranging, and ePro online ordering system
Liasion between Mail Room, Copy Center, and IT Help Desk for all employees
Office expert for Iron Mountain off-site record storage process and retrievals
Arrange and order Holiday gifts for clients
Coordinate firm outings/events
Experience and Skills Required:
Previous experience doing a similar role
Enthusiastic team player
Ability to work 8:30 to 5:00
