Description:
Answer, screen, and direct incoming telephone calls. Respond to general inquiries and provide information as needed. Maintain confidentiality of Sales, Marketing, Client, and proprietary information and data in all communications.
Read and route incoming mail. May compose and prepare routine correspondence, faxes, e-mails for sales professionals.
Organize and maintain filing system, and file correspondence and other records.
May coordinate schedules and appointments for sales team members.
Maintain CBRE brand, product, office, and client messaging and consistency by applying templates to produce marketing materials including flyers, proposals, tour books, maps, floor plans and qualification packages.
Maintain and update CRM system and databases and assist with website updates.
May schedule maintenance for office equipment; may maintain inventory and order office supplies.
May attend Sales team meetings for the purpose of recording meeting minutes or action items.
Perform other relevant duties as requested or assigned.
Qualifications:

EDUCATION and EXPERIENCE:
High School diploma required
College level business classes preferred
Two years experience providing administrative support to multiple or team of professionals; ability to determine and respond to conflicting priorities preferred
Work experience in Sales or Marketing department preferred
Intermediate Microsoft Office Suite and Internet search skills
Skilled in Web publishing using templates
Demonstrated administrative support skills including appointment scheduling, and ability to compose/proof and edit correspondence
Demonstrated clerical skills including filing, sorting, basic math calculations, records maintenance and retention
Demonstrated organization, communication (written, oral, telephone), customer service and public relations skills required.
Ability to prioritize, and manage multiple tasks, and meet stringent deadlines.
COMMUNICATION SKILLS
Must possess good-quality oral, written and interpersonal skills. Able to listen and respond well to inquiries. Able to maintain confidentiality and integrity of data being reviewed by internal and external clients.
OTHER SKILLS and/or ABILITIES
Basic knowledge of accounting and marketing helpful. Should possess intermediate level of knowledge in Microsoft Office products, i.e. Excel, Word, Outlook
